Administrative Assistant Job Description

-Detail oriented

-Responsible for ordering any items. This includes online ordering & email.

-Responsible for maintaining order confirmations & packing slips

-Responsible for receiving & checking all items ordered, as well as distributing items to the correct area. This includes labeling packages & getting a forklift driver to unload trucks when needed.

-Will be in the office by yourself at times. Must be comfortable with the front door being unlocked & attending to sales reps or delivery drivers.

-Must be experience in excel for all data entry on spreadsheets. Experience includes, copy & paste, formatting cells, inserting borders & pictures, changing colors & font size.

-Motivated to work, at your own pace, but also in a timely manner. This is NOT an answer the phone & surf the internet position. We are busy.

-Lifting & moving packages, sometimes heavy. Carts & extra help available when needed

-Maintaining safety logs

Handling monthly meetings, with directions being given & all information being picked by manager. This includes signing into meetings, starting videos, making sure to stay on track during meetings.

-Assisting with new hires – Tour of facilities, logging into orientation software, assisting new hire with any issues related to software.

Issuing & shipping returns, notate tracking numbers for all packages, ability to use/learn printing shipping labels off the website & package all items correctly, removing any old labels entirely.

-Ability to handle multiple tasks assigned to you, numerous times a day, often repetitively.

-Ability to handle odd tasks assigned to you with direction on how it is to be laid out or handled.

-Reminding Manager of weekly & monthly tasks.

-Handling daily schedules, typing final daily schedule with correct information.

-Maintaining email

-Following thru with tasks after waiting on a response or issue to be resolved.

-Maintaining SDS sheets

-Maintaining filing system, not to be changed from current system.

-Ability to remember tasks on a short-term basis.

-Picking up items locally

-Will be using color copier, scanner & printer will multiple paper sizes

-Ability to research items/issues/suppliers when tasked

-Checking delivery trucks, scheduling repairs, maintaining repair logs

-Entering & maintaining repair logs for facility as directed.
